Assistant Guardian Relations Manager

Monday to Thursday, 9:00 AM to 6:00 PM (with a 30-minute lunch break)

Key Responsibilities

Guardian Management

  • Ensure full compliance with Licence Agreements by all Guardians.
  • Follow up on non-payment of Licence Fees within two days via calls or visits.
  • Issue warning letters and notices for breaches of Licence Agreements, including non-payment.
  • Respond to Guardian queries and complaints through email, phone, and the Arthur Online property management system, ensuring resolution within agreed timeframes.
  • Record accurate and detailed notes for all interactions.

Property Visits and Compliance

  • Conduct property inspections and problem-solve any issues raised by Guardians.
  • Work with the Head of Guardian Welfare to decide on appropriate actions for incidents or breaches.
  • Issue warnings or fines for specific Licence Agreement violations (e.g., smoking, use of non-compliant heaters).

Move-In and Move-Out Processes

  • Manage the end-to-end process when Guardians vacate a property, ensuring rooms are cleared and inspections are completed promptly.

Secondary Responsibilities

Viewings Management

  • Organize and manage property viewings, including sending mail-outs with property details and schedules.
  • Manage Spare Room ad campaigns, responding to inquiries and explaining the guardianship process.
  • Update Outlook and Arthur Online with viewing schedules.
  • Conduct viewings, providing clear explanations of the guardianship process to potential applicants.

What We're Looking For

Essential Skills and Experience

  • Customer Service: 2+ years of experience in a customer-facing role.
  • Tenant Management: Previous experience working with tenants.
  • Problem-Solving: Strong analytical and decision-making skills.
  • Technical Proficiency: Skilled in Microsoft apps, especially Excel.
  • Attention to Detail: Organized and meticulous in your work.

Desirable Skills and Experience

  • Knowledge of property law, mediation, and debt collection.
  • Familiarity with Property Guardianship.
  • Experience dealing with anti-social behavior (ASB) issues.
  • Strong knowledge of London and surrounding areas, including transport networks.
  • Flexibility to work non-standard hours.
